02The Statement
A customer statement on WhatsApp, in seconds
The customer asks what he owes. The answer has been in the accounting program since the invoice was entered. What we build is the road from there to his WhatsApp: a statement from the program’s own entries, with the items’ photographs, sent in seconds from the phone of whoever bills. The program stays as it is.
The statement as it reaches the customer today
Today the statement usually reaches the customer as a WhatsApp message: a screenshot of Al-Ameen or another program, a page printed from it and photographed at an angle on the desk, or a PDF whose columns do not fit a phone screen. The figures are small, the names cut off, the last line outside the frame. So it is retyped by hand into a message, one figure differs from another, and the argument starts.
A week later the customer asks again, and whoever bills goes back to the desk, opens the program and prints and photographs it all over again. One statement, three times over, and no copy of it that both sides trust.
The statement from the program itself, with photographs
This is the Statement, a part of the System we build over your program: a customer statement with photographs, on WhatsApp in seconds. It goes from the phone of whoever bills to the customer’s WhatsApp, where he reads it and keeps it. Nothing is written back: the accountant’s statement remains the statement of record, and this is a readable copy of it.
It is built from the entries in Al-Ameen — or another program — as they stand, not from a page somebody retyped:
- Invoices, with their dates and amounts
- Payments received, with their dates
- The balance at the foot, as the program shows it
- The item’s photograph on each line, where one exists
Following up on what customers owe: who, how much, since when
The same statement, from your side: who owes you, by customer and by age of the debt, with anything past 90 days at the top of the list. An example from our Reading of a Damascus distributor’s books: 134 customers owe, and 39% of what is owed is past 90 days. Both figures were in the program all along; nobody saw them, because nobody pulled them out.
For you, two things. The list on your phone in the morning, before the accountant is at his desk. And a statement in the customer’s WhatsApp instead of a phone call. Following up on what customers owe becomes a look at a list, not a question for the accountant. We do not promise that anyone pays sooner. We promise that you see who owes you.
Suddenly you can see.
Linking the accounting program to WhatsApp: statements go out, orders wait in one queue
Orders reach the company as paper and as WhatsApp voice notes, and each waits for somebody to be free to enter it. The Floor is another part of the System: paper and WhatsApp messages go into one queue for whoever bills, in the order they arrived, so no order is left behind in an old chat.
To be exact: the Floor is built for each company separately, because orders reach each company differently. And “linking Al-Ameen to WhatsApp” — or any accounting program to WhatsApp — means, here, one direction: messages built from the program’s entries go out to WhatsApp, the statement first of all. Nothing comes back into the program by itself; the entering still falls to whoever bills.
Questions people ask
- What does it need from the accountant?
- One thing, once: he creates a read-only login on the program for the System, watches a write fail, and deletes it whenever he likes.
- Which program?
- Al-Ameen, or another. What matters is that the entries are in it: invoices, payments, balances. MIDDLEWARE is not Al-Ameen’s maker; the program stays as it is.
- Does the customer need anything?
- Only WhatsApp. The statement reaches him as a message like any other, and stays in the chat.
- And if there are no photographs yet?
- It goes out without them, names and figures only. When we photograph your items later for the Catalogue, the photograph appears on the line from that day.
